OPERATIONS MANAGER


Purpose
· To lead department, including supervising 2 junior operators, so as to ensure that all operations are safely, timely, efficiently and cost effectively managed to guarantee the prompt and cost effective delivery of products. The Operations team will take a proactive approach to all aspects of the process.
· The scope of these operations will include vessel loading/discharge, voyage instructions, storage operations, documentation, and other associated activity. Close liaison with traders and other parts of the company (including finance, vessel chartering/operations, etc) will be essential.
· To be a strong interface with the external market (including banks, inspectors, storage cos, agents)
· To co-ordinate with other key departments within the company (trading teams, finance, shipping, accounts).

Basic Role
Operations
Draft both sales and purchases contracts, review with traders, highlighting operational issues that require traders and other departments’ attention, issuing to counterparties, amendments and follow-up.
On the instruction of traders, give suppliers instructions on narrowing of lay-cans and quantity nominations.
Nominations of vessels for clearance to load/discharge ports and buyers/sellers, in accordance with contract terms
Work closely with Finance group, on drafting, issuance and acceptance of letters of credit, and issue documentary instructions to suppliers for shipping/delivery of products, and ensure compliance.
In co-operation with accounts group, issue invoice/payment docs to buyers (some invoices are generated directly from London)
Incoming invoices: check correct  and  correct payment docs received from supplier and pass for approval to pay.
Liaise with shipping group on charter party; check correct freight invoice/payment docs received from shipowner and pass for approval to pay.
Effect required letters of indemnity, instructions to ship-broker/shipowners
Select and appoint appropriate independent cargo inspection company to ensure quality and quantity control; where possible, select and appoint vessel’s agents
Verify quality and quantity of products delivered by suppliers; control variations within acceptable limits.
Ensure all cargoes carry the correct documentation to allow import to the destination
Liaise closely with agents, inspectors, customers, suppliers and other involved third parties on all trades to protect Fal’s position throughout and ensure smooth, timely and cost effective operation.
Manage demurrage and other claims on all cargoes to minimize exposure and maximize recovery

General
Develops and maintains excellent relationships with key 3rd party service providers and regulatory officials and works with, and through, them to determine future vessel availability and pricing.
Sets operational standards (e.g. contract issuance, response times, standardized contracts) and ensures these standards are met in conjunction with internal customers (principally traders).
Identifies and implements methods to improve the physical p+l and opportunities to minimise cost/maximise service for given cost. This may include close co-operation with the international operations team on, for example, central negotiation of storage rates, inspection services, agency arrangements etc, as well as developing methods of physical operation, which achieve the least cost/max return.

Experience
Minimum 3 years managing physical operations in relation to crude oil and/or petroleum products
Sound working knowledge of shipping, legal, inspection, hedging and finance to enable appreciation and interaction with these areas.
Seasoned professional with wider perspective than own immediate trading area.
Sound numerical background.

Salary: 70k - 90k GBP.
